What the Blue Mountains run actually looks like
The Blue Mountains run leaves Sydney on the M4, follows the Great Western Highway through Penrith and starts climbing at Glenbrook, then threads the string of villages — Springwood, Wentworth Falls, Leura, Katoomba, Blackheath — that sit along the one road. Allow around two hours each way with clear traffic, and closer to two and a half if you are collecting from the eastern suburbs or the northern beaches before you start. It is a comfortable day trip and a very long half day, which is why almost every group we carry books it as a full-day charter: the coach stays with you, so the group is not standing at Echo Point in the wind waiting on a timetable, and the walking tracks, Scenic World and lunch in Leura all fit without anybody watching the clock. The train reaches Katoomba, but it does not reach the lookouts, the gardens or the falls, and it does not carry the group back to the same door it collected them from.
The shape of the day
How the day usually runs
A typical version of this trip, so you can see where the hours go before you commit to a departure time. Your own itinerary replaces it — this is the starting point we plan from, not a fixed timetable.
Step 1: One pick-up, not four
We collect from a single agreed address wherever we can — a school gate, a hotel forecourt, a club car park. Every extra pick-up adds twenty minutes to a day that already has a mountain at the end of it, so groups that meet at one point are on the highway before the traffic builds.
7:30 – 8:30amStep 2: The climb, and a first stretch
Most days include a comfort stop somewhere between Penrith and Wentworth Falls. It breaks the drive, it lets the driver take the rest the fatigue rules require on a long day, and it puts the group at the first lookout awake rather than stiff.
Mid-morningStep 3: Echo Point, Scenic World, Leura
The usual shape is the Three Sisters at Echo Point, then Scenic World, then lunch and the shops along Leura Mall — with Wentworth Falls or Govetts Leap added when the group walks well. Your driver sets you down, parks where coaches are permitted and comes back for you, so nobody carries a day pack any further than they have to.

Leaving Katoomba by mid to late afternoon usually beats the worst of the westbound run home. We set the departure time with you when we quote, and if the group wants to stay for sunset at the lookouts we build the later finish into the hours rather than surprising you with it.

Which vehicle suits this run
Almost everything in our fleet handles the Great Western Highway, so the choice is really about the day rather than the climb. For up to about twenty-four people an executive minibus is the easy answer — it parks in the village streets, turns around at a lookout car park, and keeps the group in one conversation. At around twenty-five to twenty-seven, a midi-coach adds underfloor luggage and a PA, which matters if you are travelling with a guide or a teacher who wants to be heard. Beyond that, a full-size coach with reclining seats makes the two-hour legs far more comfortable, and it is the better vehicle if the group includes older travellers. If Jenolan Caves is on your list, tell us early: that leg is long, winding and has its own access constraints, and we check the road and size the vehicle for it rather than assuming.
Pick-up and set-down
Give us one address, a mobile number for the person leading the group, and a realistic loading time — a group of forty takes longer to board than the person booking usually expects. In the mountains the coach parking at Echo Point and Scenic World is limited and time-restricted, so your driver will normally set the group down at the entrance, park where coaches are permitted and return at the agreed time. If your day includes a walking track that finishes somewhere other than where it started, tell us at the quote stage and we will plan the pickup at the far end rather than walking the group back.

How long the coach stays with you
A Blue Mountains day is charged on the hours the vehicle and driver are committed, from the depot run to the final drop-off. A group that leaves at eight and is home by five is a very different booking from one that stays for sunset.
Where the group starts
Collecting in the inner west or Parramatta puts you on the M4 immediately. Starting from the northern beaches or Sutherland adds an hour of Sydney driving at both ends of the day, before the mountains are even in sight.
The size you actually need
Seats are cheap; the wrong vehicle is not. Forty-five people on one coach costs less per head than two minibuses, and it is one driver and one set of parking arrangements to manage at every stop.
Day of the week and season
Weekends, school holidays and the winter festival period in Katoomba are the busiest dates and the first to run out of the larger vehicles. Weekday departures are easier to fill and easier to hold.
