A wedding usually generates four or five separate movements before the wedding day itself: an engagement party, a hens or bucks night, guest arrivals across a weekend, welcome drinks, and a rehearsal dinner. Each is a smaller group than the wedding, each is usually at night, and each is normally organised by a different person. That last part is why they get missed. They are also the cheapest transport on the whole calendar, because small vehicles carry the lowest hourly rates.
Which pre-wedding events actually need transport
Not all of them do. The test is simple: does the event end at night, at a venue with poor parking, with guests who will be drinking, some of whom do not know the area.
| Event | Typical group | Vehicle end of the fleet | The thing that catches people out |
|---|---|---|---|
| Engagement party | 30 to 60 | Luxury coach or midi-coach | It is the largest pre-wedding group and often the earliest, before anyone is thinking about transport |
| Hens or bucks night | 8 to 20 | People mover, 13-seat van, minibus | Multiple stops. Each one consumes chargeable time |
| Guest arrivals | Varies, clustered | Depends entirely on flight times | Arrivals cluster into two or three windows, not a steady stream |
| Welcome drinks | 20 to 80 | Minibus through to coach | Usually the night before, so the vehicle is competing with wedding-day preparation |
| Rehearsal dinner | 10 to 30 | Minibus or midi-coach | The smallest group with the highest proportion of people you cannot afford to strand |
| Day-after brunch | 20 to 60 | Minibus or coach | Frequently the first movement anyone actually books, and the last one anyone needs |
The engagement party and the rehearsal dinner are the two worth planning properly. The engagement party because of its size, and the rehearsal dinner because everyone on it has a job to do the following day.
Sizing and pricing, from the published rates
Pre-wedding events are almost always priced on hours, because they are rarely point to point. Minimum hire is three hours on minibuses and people movers, and four hours on midi-coaches and full-size coaches, and each hourly booking carries its own minimum.
Worked from the published rate card rather than from any actual booking. All rates are GST inclusive, and driver, fuel, vehicle insurance and GST are already inside them.
| Scenario | Vehicle | Published basis | Cost at the minimum |
|---|---|---|---|
| Rehearsal dinner, 20 people | Executive minibus, 21 to 24 seats | $145 per hour, 3 hour minimum | $435 |
| Hens or bucks night, 12 people | Toyota Commuter, 12 seats | $110 per hour, 3 hour minimum | $330 |
| Small bridal party dinner, 6 people | Mercedes V-Class, 7 seats | $125 per hour, 3 hour minimum | $375 |
| Engagement party, 45 people | Luxury coach, 48 seats | $185 per hour, 4 hour minimum | $740 |
| Welcome drinks, 25 people | Executive midi-coach, 27 seats | $165 per hour, 4 hour minimum | $660 |
Seat counts exclude the driver. A group of 58 or more is quoted as a coordinated convoy per event rather than off the hourly table.
Two lines to keep in view. Tolls and parking, public holiday and after-hours loading, and waiting time beyond the booked window are confirmed in advance and priced separately. And a multi-stop night, which is what a hens or bucks night usually is, spends its budget on time rather than distance, so the number of stops matters more than the kilometres.
The vehicle types and rates behind all of these sit on wedding bus and coach hire in Sydney.
The rehearsal weekend out of town
This is where pre-wedding transport stops being small.
The published figure for the Sydney to Hunter Valley run is 165 km and 2 to 2.5 hours each way. That is 4 to 5 hours of driving before anybody has stopped anywhere, which means a Hunter Valley rehearsal day is not a three hour minimum booking. It is a full day.
On a 27-seat executive midi-coach at $165 an hour, a ten hour day is $1,650 and a twelve hour day is $1,980. That is the honest shape of it, and it is worth knowing before the venue is booked rather than after.
There is a second constraint that is not about money. General standard hours for a solo driver of a fatigue-regulated heavy vehicle allow a maximum of 12 hours work with 7 continuous hours of stationary rest in any 24 hour period, and a separate standard hours table applies to solo bus and coach drivers. A driver uses one table or the other, not both. A Hunter Valley day that leaves Sydney mid-morning and returns late is close to that limit before anything runs over, so raise the finish time at quoting stage. If guests are staying overnight, driver accommodation on multi-day trips is confirmed in advance and priced separately.
The Sydney to Hunter Valley run has the route detail if the rehearsal weekend is heading that way.
The guests who are already in town
Interstate and overseas guests arrive early, and they arrive in clusters. Three flights landing within ninety minutes of each other is one transport job. The same three flights spread across a day is three jobs.
Airport transfers are the one pre-wedding movement that is often better priced as a single fixed transfer fare rather than hourly, because a point-to-point run quoted that way is not charged at a minimum. Ask for it both ways if you are unsure which shape your arrivals take.
The practical move is to collect flight numbers and arrival times from guests once, at the point you collect their RSVP, rather than chasing them in the final fortnight. Two or three consolidated pick-ups usually cost less than a scatter of individual ones, and they are far easier to staff.
Alcohol, and what it changes
Most pre-wedding events involve drinking, which is exactly the point of arranging transport for them.
Food and non-alcoholic drinks are fine on all vehicles. Alcohol on board is permitted on private function bookings by prior arrangement only, so it is something to raise when you book rather than something to assume. That arrangement is how a hens or bucks night is normally handled, and a private function booking is the right frame for it.
Alcohol is never permitted on school or youth charters, which matters if a pre-wedding event includes a group of under-18s.
Book them together, or separately?
Three tests.
- Are two events on the same day, or on consecutive days? If so, send them together. The operator can see whether one vehicle and one driver can cover both within legal hours, which you cannot work out from outside.
- Do the events need different vehicles? A 12-person rehearsal dinner and a 45-person engagement party are different rungs of the fleet. Bundling them into one enquiry is still worth doing, but do not expect one vehicle to serve both.
- Is one of the events out of town? Handle that one on its own terms. A Hunter Valley day has different driver-hours arithmetic from a night in the inner suburbs, and mixing the two into a single conversation tends to obscure it.
Minimum hire applies per hourly booking, so three separate three hour events are three minimums, not one. That is not a reason to avoid booking them. It is a reason to know the number before you commit to five events instead of three.
Frequently asked questions
What pre-wedding events actually need transport?
The ones that finish at night, at a venue with limited parking, with guests who will be drinking. In practice that is most engagement parties, most hens and bucks nights, and any rehearsal dinner where the group has an early start the next day.
How does pre-wedding transport differ from the wedding day?
Smaller groups, smaller vehicles, lower hourly rates, and far more stops. A wedding shuttle is two to four scheduled departures. A pre-wedding night is often a moving vehicle with a list of addresses.
Can pre-wedding events be booked with the wedding?
They can sit on one enquiry, which is worth doing because the operator can see the whole weekend and the driver hours across it. Each hourly booking still carries its own minimum hire.
What does a rehearsal dinner shuttle cost?
At the published rates, a 21 to 24 seat executive minibus is $145 an hour with a three hour minimum, so $435 at the minimum. A 27-seat midi-coach is $165 an hour with a four hour minimum. All rates are GST inclusive.
Can we drink on the bus?
On a private function booking by prior arrangement only, so ask when you book. Food and non-alcoholic drinks are fine on all vehicles at any time.
What about a Hunter Valley rehearsal weekend?
Treat it as a full-day booking rather than a minimum-hire one. The run is 165 km and 2 to 2.5 hours each way, so 4 to 5 hours of the day is driving, and the driver’s legal working hours become a real constraint on how late the group can stay.
Next step
Write down every pre-wedding movement you can think of, including the ones somebody else is organising, and send the list in one message with dates, rough numbers and suburbs. You will get a written quote covering the lot, with each vehicle named, normally within two business hours during office hours. Put the whole weekend on one enquiry or call 02 9469 6600.
