Sydney’s two Australian Turf Club racecourses publish different coach arrangements, and the difference matters. The two racecourses are not interchangeable

Two things follow from that table.
First, do not carry a height figure from one venue to the other. A vehicle that counts as a mini bus at Rosehill may be over the threshold at Randwick, because 3.4 m and 3.1 m are 300 mm apart and plenty of vehicles sit in that band. Ask the operator for the actual height of the specific vehicle being sent, not a category.
Second, the two venues create different day shapes. At Rosehill, a coach can be on site all day, which makes an early departure or a mid-afternoon return achievable. At Randwick, the published arrangement is set-down and pick-up, so the vehicle leaves and comes back, and the return has to be a scheduled event rather than a phone call.
That single difference is worth deciding your whole plan around. If your group is the kind that will want to leave in waves, Rosehill accommodates it more easily than Randwick does.
Getting the vehicle height right before you book

Sydney’s toll roads classify vehicles by dimensions rather than weight, and a full-size coach exceeds the 2.8 m height limit for the lighter class, so it is charged at the heavier class on every class-based Sydney toll road regardless of length. That is a line in your quote, not a surprise: tolls and parking are confirmed in advance and priced separately rather than being folded into the hourly rate.
The getting-home problem
Arrivals to a race day spread themselves out over two or three hours. Departures do not. The last race ends and the entire crowd moves at once, into a road network that is handling every other person doing exactly the same thing.
Add to that the specific circumstance of a race day: a group that has been at a licensed venue since late morning. They are slower to gather, harder to count, and more likely to have made independent plans by the time the coach arrives.
The plan that works is a staggered return with published times.
- Fix the return departure times before the day and publish them in the same message as the arrival details. Two published departures work far better than one for a group over about 30.
- Set the first departure earlier than the last race. There is always a portion of a group that would rather leave before the crush, and letting them do it on a bus is better than letting them do it on foot.
- Give the meeting point as a street address plus a landmark, and give it separately for the return. The arrival point and the departure point are not always the same, and at Randwick in particular the return is a scheduled pick-up rather than a vehicle waiting.
- Set the pick-up 15 to 20 minutes before you need to move. Rounding up a race day group takes longer than rounding up any other kind of group.

The Sydney spring is the tight window. The Sydney Everest Carnival runs from mid-September to early November, with nine major racedays across seven weeks split between Royal Randwick and Rosehill Gardens. That is a concentrated run of high-demand Saturdays in which the same fleet is being asked for by many groups at once.
Two other dates are worth knowing. The Golden Slipper is scheduled for Saturday 20 March 2027 at Rosehill Gardens. And on Melbourne Cup day, the Cup itself is run at Flemington in Melbourne, while the Australian Turf Club runs The Big Dance on Cup Day at Royal Randwick.
